1. What is charged
One charge of $249 per community per season, in USD, before applicable tax, collected before the community’s first lock. Not monthly, and not per member — members pay Clutchhall nothing to play.
The subscription belongs to the community, not to the person who paid. If ownership of a community transfers, the subscription stays with the community. Applicable tax treatment is tax determinationrequired before launch.
2. How renewal works
The subscription renews automatically, once per year, ahead of the next season, at the then-current price, until it is cancelled. This is an automatically renewing subscription and it is disclosed as one before purchase, on pricing and in the customer terms.
Billing once per season rather than monthly is deliberate. A card declined mid-season could lapse an entitlement and lock a community out before a deadline, and that is a failure Clutchhall would rather not be able to have.
3. The renewal notice
Before each renewal charge, Clutchhall sends the community’s billing contact a notice stating the amount, the date it will be charged, and how to cancel. The notice period is advance renewal notice periodrequired before launch, which must satisfy the automatic-renewal law that applies to a community’s location.
If that notice does not reach you, tell us. A renewal charged without the notice having been sent is refunded.
4. How to cancel
Two routes, and both work:
- In the product. Open the community, go to its Subscription room, and cancel. It takes no more steps than subscribing did, needs no phone call, and needs no explanation.
- By email. Write to support addressrequired before launch from the account email of the community’s owner or a commissioner.
Clutchhall will not ask you to justify a cancellation, offer you a retention discount you have to decline, or add a step that exists only to slow you down.
5. What cancelling does, and does not do
Cancelling stops the next renewal. It does not:
- end the season you have already paid for — access continues through the paid-through date;
- close a competition that is running;
- delete the community, its roster, or its history; or
- remove a finished result from the record.
You can cancel the day after you subscribe and still play the whole season you paid for.
6. Refund on an initial season charge
A full refund, when requested within 14 calendar days of that charge. No reason is required. If the community has already played rounds inside those 14 days, the refund is still full — but the entitlement ends with the refund, so the community becomes read-only and any open competition stops accepting selections.
7. Refund on a renewal charge
The same 14-day window is the working intent for a renewal charge, and a renewal charged without an advance notice having been sent is refunded regardless of when you notice it. Beyond that, refunds on a renewal follow these terms and the law that applies where the community is.
This paragraph is one of the parts of this draft most likely to change under review, because automatic-renewal refund requirements differ by jurisdiction. The final rule will be stated here plainly rather than by reference.
8. When a refund is not given
- After the refund window, for a season that has been used. What you get instead is the rest of the season you paid for, plus the read-only export window in section 9.
- Where access was ended for a serious violation of acceptable use — attempting to obtain a pre-lock selection, involving a minor, or using Clutchhall billing to collect participant money.
- For a complimentary entitlement, since nothing was charged for it.
A refund is never withheld because a community disagreed with a scoring outcome, and a refund is never offered in exchange for dropping a correction claim. Those are separate things and they stay separate.
9. Read-only access and the export window
When paid access ends — by cancellation, by refund, or by a season simply finishing without renewal — the community does not disappear. It becomes read-only for a working 90-day window during which the owner can read and export everything: roster, competitions, selections after their locks, scores, standings, corrections, and champions.

What happens at the end of the export window has to be settled against the backup and deletion behaviour in the privacy notice before launch, and it is marked as a gap above rather than guessed at. Resubscribing during the read-only window restores full access to everything.
10. A failed payment
A renewal payment that fails does not immediately close a community. We retry, tell the billing contact what failed and by when it needs to be fixed, and keep access during that period. If it is not resolved, the community moves to the read-only state in section 9 rather than losing anything.
Because the charge is collected before a season’s first lock, a payment problem cannot lock a community out of a deadline mid-season. That is the main reason billing works this way.
11. Mid-season changes we make
If Clutchhall materially reduces what a community relies on during a paid season, and cannot avoid it, we will offer a pro-rata refund of the unused part of that season. The same applies if we make a material change to the customer terms that you do not accept.
12. How to ask
Write to support addressrequired before launch from an account email on the community, and say which community it is about. You will get an answer stating what was decided and why. Refunds go back to the original payment method through Stripe; Clutchhall does not hold your card details and cannot send a refund anywhere else.
